Beauty booking & scheduling
Plan appointments around your locations, staff, appointment lengths, and equipment. Add reminders, client records, and checkout features where you need them.
Sound familiar?
- Booking calls and LINE messages interrupt your work while you’re with clients.
- Planning appointments means juggling service times, staff schedules, treatment beds, and equipment.
- Late arrivals, cancellations, and no-shows leave gaps in your schedule.
- You have to look up client preferences, remaining package sessions, and prepaid balances again and again.
- Follow-ups and treatment reminders slip through the cracks on busy days.
Choose the features that fit your business
Service information
Show clients what each service involves, how long it takes, and how to book.
Staff & equipment scheduling
Plan appointment slots and preparation time around each location’s staff, treatment beds, and equipment. We’ll agree on rules for sharing staff and resources across locations first.
Bookings & changes
Keep pending, confirmed, rescheduled, and canceled appointments in one place.
Reminders & deposits
We can review options for reminders, waitlists, and deposits. Notification channels, payment processing fees, and cancellation and refund policies are agreed separately before work begins.
Client records & follow-ups
We can discuss client preferences, treatment packages, prepaid balances, and follow-up reminders. We’ll first define what to record, how balances are used, who has access, and which data is included. Medical records require a separate agreement.
Reception & check-in
See who’s booked, who’s arrived, and how each appointment is progressing. We can plan for walk-ins if needed.
POS checkout
Record the services provided, payment methods, and whether payment is still due or checkout is complete.
Sales reports
Review sales, payments, and services by location. We can also look at combined reports across locations if you need them.

Questions before we start
- Can the system include treatment packages, prepaid balances, and follow-ups?
- We’ll review what to record, how to deduct sessions or credit, refund rules, reminders, and access permissions. We’ll define the scope for general service records and medical records separately. Data migration, notification fees, and maintenance are agreed before work begins.
- Can I keep my existing booking tool or POS?
- We’ll first see whether you can keep your current tool, then review its APIs, exports, and permissions. From there, we can decide together what to integrate and what staff should confirm by hand.
- Can the system send notifications or take online payments?
- We’ll review LINE and email notifications, online payments, electronic invoices, and hardware integrations separately. We’ll also agree on booking rules and the steps that require staff confirmation.
- What affects the cost, and who can access the data?
- Cost depends on your locations, services, scheduling rules, checkout needs, and integrations. We’ll agree on who can access each location’s data, how cross-location bookings and shared staff work, and what handoff and maintenance include.
- What should a clinic booking system include?
- Start with appointment slots, staff and resource availability, contact details, booking statuses, and a way to handle changes and cancellations. We’ll review deposits, reminders, memberships, and integrations separately, based on how your clinic works.
- How can a clinic reduce missed appointments?
- Make it easy for clients to confirm or reschedule, then consider reminders and a front-desk follow-up list. Review the results against your own records; reminders can help, but they can’t guarantee that every client will attend.
- Can I use LINE for bookings and follow-up reminders?
- We can review LINE as a way for clients to start a booking or receive notifications. We’ll confirm the account, integrations, delivery method, message content, and service fees first. Clinic professionals decide when follow-ups are appropriate; the system follows the rules they approve.
- Can an AI assistant at a clinic answer treatment questions?
- The planned role is limited to clinic-approved general information, such as how to book or prepare for a consultation. Questions about symptoms, diagnosis, treatment suitability, and expected outcomes go to clinic professionals. The AI does not make clinical judgments.
- How do you handle client data, medical records, and treatment notes?
- Before work begins, we’ll agree on what data is collected, where it is stored, who can access it, how long it is kept, and how deletion and backups work. Medical records and treatment notes are not automatically included in a booking system. They require a separate review of regulatory, security, and integration requirements.
- Can you guarantee that a clinic website meets legal requirements?
- No. We can help plan information fields, content reviews, and updates. The clinic is responsible for confirming its institutional, medical, and advertising information and seeking advice from the relevant authority or a qualified professional when needed.
